1Who we are

The Mileage Log app is developed and operated by Rail-Com Systems s. r. o., the controller of personal data under Regulation (EU) 2016/679 (GDPR).

This policy covers the Mileage Log mobile app for iPhone and iPad, and this website.

2The short version

We have no server and your drives never reach us. Everything the app records stays on your device and in the private part of your iCloud, which only your Apple Account can open. We have no way to look inside it.

We collect no analytics, show no ads, use no third-party SDKs and do not track you across apps or websites. The rest of this document only spells that out in more detail.

3What the app records

To keep a mileage log, the app works with the data below. All of it is created on your device and stays under your control:

• Location and route — coordinates recorded during a drive, its start and end time and the distance travelled.
• Start and end addresses — the place name worked out from the coordinates.
• Vehicle details — name, registration plate, odometer reading and the identifier of the CarPlay or Bluetooth unit the car is recognised by.
• Purpose and notes — business or private, plus any text you write yourself.
• Fuel — date, place, litres, price and currency.
• Jobs — names and locations of places you name yourself.
• App settings — currency, units, detection sensitivity, PDF header.
• Diagnostic log — a technical record of how the app decided while detecting drives. It is created on your device and is only ever sent if you send it to us yourself to resolve a problem.

The app neither asks for nor processes your name, e-mail, phone number, contacts, photos or health data. There is no user account.

4Where your data lives

Your data has two homes, both of them yours:

• Your device's storage. This is where drives are created and where the app reads them from.
• The private database of your iCloud (Apple CloudKit private database). Data syncs here if you have iCloud switched on. Apple runs this database under your Apple Account — we cannot see into it and have no way to gain access.

iCloud sync does two jobs: your data appears on every device signed in to the same Apple Account, and your log survives a lost phone or a reinstall. If you would rather not use iCloud, turn it off for this app in system settings — the app keeps working, the data simply stays on one device.

Apple's handling of data in iCloud is governed by Apple's privacy policy.

5The permissions the app asks for

iOS asks about each permission separately and you can withdraw any of them at any time in Settings. Without some of them, though, the app cannot do its main job:

• Location, even when the app is not open — without it a drive cannot be recorded automatically. The recorded route is stored locally.
• Motion & Fitness — device motion tells the app you are driving, so recording starts without your involvement. Motion data is never sent anywhere.
• Notifications — to tell you a drive has ended and is waiting for confirmation, or that an unknown car has connected.
• CarPlay — to show the running drive on the car's display.
• Bluetooth — to recognise a vehicle by its audio unit. The app does not use Bluetooth to determine your location or to scan your surroundings.

6Apple Maps

So that a drive shows an address rather than coordinates, and so that road distance can be calculated, the app queries Apple Maps (MapKit). The coordinates the query concerns are sent — exactly as they would be if you looked the address up in Maps.

Apple processes these queries under its own terms. We pass the coordinates to nobody else and send no identifier with them that would link them to you.

7Subscription and payments

The subscription is bought through the App Store. Apple handles the payment and we never see your payment details — no card number, no name, no address.

The app learns exactly one thing from the system: whether the subscription is active. It keeps that on your device and sends it nowhere.

8What we do not collect

For the record, here is what the app does not contain:

• no analytics or behaviour measurement (Firebase, Google Analytics and the like),
• no advertising and no advertising identifiers,
• no tracking across other companies' apps (which is why App Tracking Transparency never asks),
• no third-party SDKs,
• no user account, sign-in or password,
• no sale or sharing of data with anyone — we have nothing to share.

The privacy manifest shipped with the app says the same: the set of collected data types is empty and tracking is off.

9How long data is kept and how to delete it

We do not keep it — you do, for as long as you want. The retention period is therefore not ours to set.

• A single drive, vehicle, fill-up or job is deleted in the app.
• All data at once goes when you delete the app from your device. Data held in iCloud is removed in Settings → your Apple Account → iCloud → Manage Storage → Mileage Log.

Deletion cannot be undone. If you want to keep your log, export it to PDF or CSV first, or use the backup built into the app.

10Your rights

The GDPR gives you the right of access, rectification, erasure, restriction of processing, data portability and the right to object.

What is unusual about this app is that you exercise those rights directly and without us: you reach your data in the app, correct it there, export it into a readable file and delete it. You need to ask nobody, and nobody can refuse you.

If you nevertheless believe our processing breaks the law, write to travelsbook@rail-com.eu. You also have the right to lodge a complaint with a supervisory authority — in the Czech Republic the Office for Personal Data Protection (uoou.cz).

11Children

The app is meant for drivers, is not directed at children and does not knowingly collect data from them.

12Changes to this policy

If the way data is handled changes, we will update this policy and change the version date at the top. We will announce any material change in the app as well.
